Join your CoSA colleagues for an engaging time of conversation and collaboration! The 2024 Program Planning committee is meeting regularly and shaping the theme and content of our gathering. They'll be looking to hear from you - do you have a project to share, a question to ask, a problem to solve? We have free reign of the hotel space allowing us to think creatively about how we meet and learn together. Expect a call for proposals soon!
Full Conference Registration
Full conference - Member rates include:
- Wednesday, September 18 - opening session, awards ceremony, educational sessions, vendor tables, and opening reception
- Thursday, September 19 - Breakfast, lunch, all educational sessions, vendor tables, and offsite reception
- Friday, September 20 - Members only day - Breakfast, lunch, all educational sessions, closing session
- Option to add pre- and post-conference trips
Full conference - Non-member and Vendor rates include:
- Wednesday, September 18 - opening session, awards ceremony, educational sessions, vendor tables, and opening reception
- Thursday, September 19 - Breakfast, lunch, all educational sessions, vendor tables, and offsite reception
- Option to add pre-conference trips
Note that Friday, September 20 program activities are limited to members.

Single Day Registration
Single day registration includes:

Guest Registration - $75
We invite your guest to join us for several of our social events as well as on our optional excursions. If guests wish to participate in the lunches or conference sessions, they should register separately as a non-member at the full conference rate. The guest rate includes:
- Wednesday onsite reception
- Thursday breakfast
- Thursday offsite reception
- Friday breakfast (only guests of members)
All registrations are subject to the Refund and Cancellation policy below.
CoSA Silent Auction
Previous silent auctions have been a key fundraiser for CoSA educational activities and this year we’re aiming for similar success in St. Louis, but we need your help providing auction items!
To help make this year another success, here are some helpful tips for popular auction items:
- Think small - items that are easy to pack in carry-on luggage or easily consumed in the course of the meeting
- Share a taste of your state - what food items are unique and special to your state?
- Share your state's unique stories, history, food, or drink with your colleagues!
- Snacks and small bottles of alcohol are always popular items!

Support for Travel to the CoSA Annual Meeting
For the 2024 Annual Meeting, the following travel support with be offered to individuals working at CoSA member institutions:
- Sustainer/Level 1 ($5000)
- 2 complimentary registrations
- Up to $1800 travel stipend (attendance requirements forthcoming)
- Contributor/Level 2 ($3025) and other paid levels
- 1 complimentary registration
- Option to apply for travel stipends
A limited number of travel awards are also available through the generous funding of Ancestry and Atlas. Details on how to apply for those are forthcoming.
Those in the territories and participating under the IMLS funded AWARE project will be provided with specific instructions for their travel.

Refund Policy
Annual Conference Fees
Cancellation of an Annual Conference registration is subject to the following policy:
- For a Full CoSA Annual Meeting Conference registration, cancellations thirty (30) days or more prior to the conference, refunds will be offset by a $50 cancellation fee.
- For a Single-day CoSA Annual Meeting Conference registration, cancellations thirty (30) days or more prior to the conference, refunds will be offset by a $25 cancellation fee.
- For a CoSA Annual Meeting Conference registration (Full and Single-day) cancellations between twenty-nine (29) and seven (7) days of the conference, refunds will be offset by a cancellation fee of 50% of the registration fee.
- No refunds will be given for no shows or cancellations after 12:00 PM (Eastern) seven (7) days before the annual conference.
- Requests for refunds of payment for Guest Registrations and Excursions will be considered and approved by the Executive Director on a case-by-case basis.
- A substitute attendee may be designated provided that the payment has been made and the CoSA team has been notified in advance.
- A written request for a refund must be emailed to CoSA at events@statearchivists.org prior to the event.
Annual Conference Exhibitor Booth Fees
Cancellation of an Annual Conference sponsorship is subject to the following policy:
- For cancellation of a CoSA Annual Conference sponsorship thirty (30) days or more prior to the conference, refunds will be offset by a 50% cancellation fee.
- For cancellation of an Annual Conference sponsorship within thirty (30) days of the Annual Conference, a refund will not be given.
- A written request for a refund must be emailed to CoSA at events@statearchivists.org prior to the event.
Conference registrants and exhibitors are responsible for their own travel and lodging arrangements.
